A Step-by-step guide on how to effectively fill out and utilize a 4-1-1
Start with your BIG Rocks:
What are your Annual Goals (or your Goals for the Quarter). This is your 20% that matters. None of your 80% (the busywork) belongs on the 4-1-1. We’re looking for what DRIVES your success; the income producing activities. The front of your 4-1-1 is for your 20%; your Success List. The back is for the rest; your to-do list. If you haven’t finished the front, you haven’t earned the right to start on the back.
Action Step: Start by writing out your goals for the year (or quarter). Get specific. How will you know you've been successful?
(hint: it's OK to steal from your priorities in your GPS)
4 Biggest Mistakes others make in Creating their 4-1-1:
1) They don’t create SMART Goals
SMART Goals
S - Specific
M - Measurable
A - Attainable/Achievable
R - Realistic/Relevant
T - Timely
Is it “I want to get good at running”? Or “By the end of the year, I’m going to run 3 miles in under 30 min”
Action Step: Review the goals you just wrote and be sure they are all written as SMART goals.
(note: you'll do this again at the very end)
2) They don’t create the 4-1-1 in order of Priority.
You MUST Prioritize your goals.
What’s the Most Important thing that MUST happen and until that’s completed, nothing else matters?
Then, should you earn the right to complete a 2nd Priority for the year, what would it be?
Action Step: Re-order your goals in order or Priority.
Next, start with your #1 Priority - the MOST IMPORTANT - and put that in the Year (or Quarter) section of your 4-1-1.
Get Specific! How will you know you’ve been successful?
Then go to your month for that Priority - “What’s the 1 thing you can do this Month to accomplish your goal for the year/quarter?”
Get SPECIFIC!
How will you know you’ve been successful?
Then go to this coming week for that Priority - “What’s the 1 thing you can do this week to accomplish the goal for the Month in order to accomplish your goal for the year/quarter?”
Get SPECIFIC!
How will you know you’ve been successful?
Action Step: Start with your first priority and put it into your 4-1-1
3) They don't focus on 1 Priority at a time.
Instead, they'll do all of their year goals, then list out their monthly goals, and then write out all 4 weeks of their weekly goals…
This creates a disconnect from your #1 priority annual goal and your weekly goals.
Keep with the #1 Priority ALL the way down to you goals for the week.
THEN move on to the #2 Priority. Should you earn the right to do a 2nd priority for the year (quarter), what would it be?
Take that down ALL the way down to the week.
THEN, should you earn the right to do a 3rd priority for the year (quarter), what would it be?
Take that down ALL the way down to the week.
Etc.
Etc.
Action Step: Take each Priority for the year (or quarter) and take it down all the way to your goals for the week.
(note: check to make sure they're all SMART goals)
Remember, only fill out ONE week at a time.
At the end of your first week, you'll check your results. What got accomplished and what didn't? If you didn’t hit your goals for the week, why not? Was it really a priority? What needs to happen this next week to ensure you're still on track to hit your goal for the month and year (or quarter)?
Then, based on those results and what still needs to be accomplished, set the next week's goals.
4) They don’t time-block for the activities and review their 4-1-1 daily.
Time Block so your planner matches your priority.
When are you going to accomplish your first priority? 2nd priority? Etc.
BOLD Law: If It's Not On Your Schedule , It Doesn't Exist
Action Step: Pull out your calendar and block your 1st priority 1st, 2nd priority 2nd, 3rd priority 3rd, etc. Remember, you must earn the right to work on your 2nd priorty by completing your 1st priority 1st. So time block accordingly.
Review your progress daily and adjust as needed to ensure you’re hitting your goals.
Ask yourself, “Have I earned the right to move on to my next priority?”
Block time BEFORE the month starts to set your goals and priorities for next month.
Block time BEFORE the week starts to set your goals and priorities for the upcoming week.
Action Step: Pull out your calendar and block out time to review your 4-1-1 daily (5 min.), weekly (10-15 min.), and monthly (15-30 min.)
